What is the Data Source Account for?

Each metadata provider has a Data Source account that contains administrative information and also gives the metadata provider control over harvesting and use of their metadata records. The information in this account controls how and when harvesting of your metadata occurs.

Account Administration Information

This section contains basic information about your account.

Settings

 

Element Explanation
Key A unique ID identifying your Data Source within the ANDS systems, allocated by ANDS. This key is arbitrary and for internal use only. It may be, but is not required to be, a URL. This key is for your Data Source, and is not the same as the key each individual metadata record will have. Example: aims.gov.au
Title The name of the Data Source. This may be an organisation name or a repository name. Example: Australian Institute of Marine Science Metadata Catalogue.
Record owner The name of the owner of this Data Source administrative record, usually an organisation name that is not ambiguous, i.e. the full organisation name. Acronyms, contractions or nicknames are not permitted. Example: Australian Institute of Marine Science
Contact name Personal name of the Data Source Administrator that can be disambiguated. Example: John T. Smith
Contact email Organisational email address of the Data Source Administrator. It is recommended that an email address is used as the unique ID for users of the built-in authentication functions of the Registry. Example: name@uni.edu.au
Notes Any information useful to record about the Data Source or its activities.

From here, Data Source Administrators can control what is done with their metadata records.

Reverse links

Reverse Links controls how links are displayed in Research Data Australia.  More information

Element Explanation
Checkbox 1 If checked, reverse links between related records inside this data source are created. Default is set to Checked (ON).
Checkbox 2 If checked, reverse links between related records are created when one link is from an external data source. Default is set to Unchecked (OFF).
Push to NLA? (sharing party records with the National Library of Australia)

This setting controls whether party records you provide to ANDS are forwarded on to the National Library of Australia for inclusion in Trove.

Element Explanation
Push to NLA (Yes/No) Records whether you want your party records to be on-supplied by ANDS to the National Library of Australia for inclusion in the Trove discovery service. This applies only to approved records that have been published in the Production system. For detailed information see Release notes PDF (1.7MB)
ISIL Your Data Source ISIL code. This is a unique code that is used to identify you as a contributor to Trove when you provide party information to Trove via ANDS.  More information about ISIL
Quality assessment and workflow settings

These settings control some aspects of how your records move through the quality assessment and publishing workflow. For details of these workflows see the ORCA Assessment Workflow Technical Guide PDF

Element Explanation
Manually Publish Records?
Controls whether records that reach the end of the quality assessment workflow are automatically published immediately or need to be published manually. More information
Quality Assessment Required?
Set by ANDS, cannot be edited by Data Source Administrators. If selected, all records from this Data Source will enter the quality assessment workflow. All new accounts are set to require quality assessment initially. More information
Assessment Notification Email The email address(es) that are notified when records are submitted for assessment.
Primary relationship settings (available from 7 Dec 2011)

These settings allow Data Source Administrators to enter up to two primary record keys of published records from within their own data source that will be automatically linked to all records, whether harvested or entered manually. This simplifies the process of, for example, linking all collections to the institution's party record. This is optional.

Administrators must select the class to which the process applies, enter the key of the record that all members of that class will be linked to, and specify the relation type that applies to the link.

Harvester Settings

These settings control all aspects of harvesting metadata from your Data Source. This process is fully under the control of Data Source Administrators. See Introduction to harvesting for more information

Element Explanation
URI

The location of the Data Source, from which XML documents are harvested by ANDS. Also known as the harvest point.

  • Any HTTP or HTTPS URL pointing to a RIF-CS XML feed for a DIRECT provider. Example: http://devl.ands.org.au/test/aims.xml.
  • For an OAI-PMH provider, the base URL of the Data Provider. Example: http://mest.ivec.org/geonetwork/srv/oaipmh

Troubleshooting: Make sure you don't accidentally specify leading or trailing spaces when you enter your harvest URI—this is one of the causes of harvests failing. Use the "Test" button from this Data Source account page to check that your harvest URI is accessible.

Provider type

Provider type describes the kind of metadata document the Data Provider is supplying. Choose one of:

  • RIF : The Data Provider creates a RIF-CS XML file (referred to as raw RIF-CS XML) or generates it dynamically. This file can be uploaded using either of the DIRECT or Harvester DIRECT methods. The RIF-CS document must be available from a publicly accessible URL.
  • RIF OAI-PMH: The Data Provider uses OAI-PMH software within their repository or metadata store to create RIF-CS XML wrapped in OAI-PMH protocol constructs. This file can only  be uploaded using Harvester OAI-PMH.
Harvest method

Harvest method specifies the means by which the Data Provider's metadata will be retrieved from the harvest point URL.

  • DIRECT: In this case the Collections Registry connects directly to the Data Source URL and uploads raw RIF-CS XML. The harvester service is not used, and  there is no OAI-PMH protocol or software involved. The downside is that data loading cannot be scheduled, as scheduling is implemented by the harvester service. DIRECT is a  single one-off HTTP GET.
  • Harvester DIRECT: as for DIRECT, but use of the harvester allows scheduling of a series of single HTTP GET services.
  • Harvester OAI-PMH: harvests using the OAI-PMH protocol which may be either on demand (ad hoc) or scheduled. Includes supporting services such as resumption tokens in case the harvest process fails during harvest, and error and exception reporting.

The selection made for harvest method is constrained by the provider type selected. Invalid combinations will result in failed harvests.

  • For Provider type of RIF, only DIRECT and Harvester DIRECT are valid harvest methods.
  • For Provider type of RIF OAI-PMH, only Harvester OAI-PMH is a valid harvest method.
OAI Set Capability provided by OAI-PMH to specify a subset of available records for harvesting.
Harvest date Future date and time when a harvest will occur or when regular harvests begin. From 7 December 2011, the calendar widget will be enhanced to allow nomination of a time zone.

Data Source View Page functions

From this page you can carry out the following functions:

  • List your records

  • Access the Manage My Records screen

  • Edit your Data Source account—change the settings (other than the key value and record owner information)
  • View history—History Tool that shows recent changes performed on the records for a Data Source and provides for roll-back of individual records that have been deleted accidentally. From this tool you can also recover records and obtain the RIF-CS XML code for a record. For detailed information see Release notes PDF (1.7MB)

  • Delete records—allows deletion of harvested, manually created or all the records in a Data Source. This action cannot be reversed so use with extreme care.  More information
  • Test your harvest—the Test harvest button checks that the harvester application can find the harvest URI (your harvest point)

  • Import records— the Import Records button initiates an immediate direct manual harvest of records into the ANDS Registry

  • Get feedback on your actions

    • The harvest schedule shows the status and progress of your harvest (only visible when harvest activity is scheduled or has occurred)

    • The activity log shows the results of your actions, including harvest activity
      • the Refresh button updates the activity log display
      • the Clear Log button clears all log details. This action cannot be reversed.
      • The plain text icon on the left side of the Activity Log provides a text version of activity log content that you can print.
